For an event shipment, include both the date your cargo is ready and the time it can be received at the venue. If several trucks need to arrive in a particular order, describe that sequence with your quote request.
Send the venue’s delivery instructions alongside your cargo details. Note any appointment, check-in location, access restriction or loading requirement that a carrier will need to review.
What to include in your freight brief
1. Locations and dates
List each pickup and delivery location, when the cargo will be ready, and the receiving window. Include the time zone for each scheduled time.
2. Trucks and cargo
State the expected number of trucks and equipment requirements, if known. For each load, describe the cargo, packaging, quantity, weight and dimensions. Mark estimates clearly.
3. Arrival sequence
If one load must arrive before another, identify the order. Separate a preferred arrival time from a fixed venue appointment.
4. Loading and receiving
Describe the loading and unloading arrangements, the receiving contact’s role, and any requested driver assistance or special equipment. Include venue instructions so those requirements can be reviewed.
5. After the event
If your request includes a return or onward move, add its pickup location, cargo-ready time and destination. Each leg and its availability will need confirmation.

For multiple loads, repeat the location, timing and cargo details for each truck. A numbered load list makes it easier to discuss individual movements.
